Mail Tracking
Payment Tracking
Businesses that rely on the Postal Service™ to deliver payments have always faced a dilemma: loss of control over the process once payments enter the mail stream. If a borrower’s payment hasn’t been received, should a business incur the cost to send a late notice or begin more aggressive collection efforts, knowing that doing so risks alienating a valued customer if a payment is, in fact, delayed somewhere in the mail stream?
NCP Solutions’ Payment Tracking service produces statements whose remittance coupons bear postal codes that allow the USPS to track payments once they enter the mail stream. NCP then reports this information back to you, taking the mystery out of the delivery process.
Certified Mail
With Certified Mail™, know with certainty that your mail reached its destination with access to online delivery information. Mailers of Certified letters and packages receive a receipt stamped with the date of the mailing. A unique article number is also provided to verify delivery using the USPS Track and Confirm® Service.
You can use Certified Mail with:
- First-Class Mail® - Letters, envelopes, and small packages weighing 13 ounces or less
- Priority Mail® - Cost-effective expedited delivery in an average of 2-3 days
Electronic Return Receipt
When legal proof of delivery is needed, request Return Receipt for your Express Mail®, First-Class Mail® or Priority Mail® packages.
With traditional Return Receipt service, postal carriers collect recipients' signatures on green postcards integrated into mailers, which are then returned through the USPS to the mailing organization. Electronic Return Receipt® is a cost-effective, digital option with an added benefit of seven years of document archival. The recipient’s signature is captured digitally by the postal carrier, can be tracked online at www.usps.com and then posted as a PDF file that includes an image of the signature.
Lockbox Auditing
For many companies, collection efforts are hampered by the inability to determine when a payment is actually in the mail stream, when it reached the lockbox or remittance processing center and when it was released for credit to the customer’s account. Lockbox auditing services from NCP lets you monitor the performance of your lockbox provider by determining the time it takes from receipt of payment to the availability of funds and the generation of your posting file.
NCP makes it easy for companies to better manage lockbox auditing and fully track the progress of payments through the mail stream to the point of posting to the customer account. Our lockbox auditing service provides a biller with accurate, near-real-time reports on the timeliness and performance of its lockbox service provider. Independent lockbox audits eliminate any bias in the monitoring and reporting of processor performance. This solution empowers you with information to make fact-based decisions relative to accounts receivable or cash flow management. Put Lockbox Auditing to work for you.
